Skoolsync ("we", "our", "us") is a school management platform operated by Sanquity Innovative Solutions Private Limited. This Privacy Policy explains how we collect, use, store, and protect information when schools, administrators, teachers, parents, students, and drivers use our website (skoolsync.in), our web application, and our Android mobile application.

By using Skoolsync, you agree to the practices described in this policy. If you do not agree, please do not use our services.

2. Information We Collect

Account and profile information: name, email address, phone number, role (e.g. admin, teacher, parent, student, driver), and school affiliation, provided when a school administrator creates your account.

Student and academic data: attendance records, fee and payment records, examination results, admission details, and timetable information, entered and managed by the school for its own students.

Location data: for users with a driver role, our Android app collects precise GPS location while a bus trip is actively in progress, in order to power live bus tracking for parents and school administrators. Location is only collected while a trip is started by the driver and stops immediately when the trip ends. This continues to run briefly in the background (via a foreground service with a persistent notification) if the driver's screen is locked or they switch apps mid-trip, so tracking is not interrupted.

Device and usage information: device type, operating system version, app version, IP address, and general usage/interaction data, collected automatically to maintain and improve the service.

Communications data: messages you send us through our contact form, including your name, email, phone number, and the content of your message.

3. How We Use Information

• To provide, operate, and maintain the Skoolsync platform for the schools that use it
• To power features such as attendance tracking, fee management, admissions, examinations, and live bus tracking
• To send push notifications (via Firebase Cloud Messaging) relevant to school activity, such as attendance alerts, fee reminders, or trip status updates
• To respond to support and contact requests
• To maintain the security, integrity, and reliability of our platform
• To comply with legal obligations

4. Location Data in Detail

Location data collected from drivers is used exclusively to display live bus location to authorized parents and school administrators within that driver's assigned school. We do not use driver location data for advertising, and we do not sell location data to any third party. Location history is retained only as long as necessary for trip records and transport reporting, after which it may be periodically purged.

5. Data Sharing

We do not sell personal information to third parties. Information is shared only:

• Within the same school (e.g. a parent can see their own child's attendance and their assigned bus location; a school admin can see records for their own school only)
• With service providers who help us operate the platform (such as cloud hosting and Firebase push notification services), under confidentiality obligations
• When required by law, regulation, or valid legal process

6. Children's Privacy

Skoolsync is used by schools to manage student records as part of their educational administration. Student accounts and data are created and controlled by the school, acting on behalf of parents/guardians as part of the school's enrollment process. We do not knowingly allow children to create their own accounts independently, and all student data is managed under the school's oversight and applicable education-sector data protection obligations.

7. Data Security

We use role-based access controls and encrypted data storage to protect information within the platform. Access to student, parent, and driver data is restricted to authorized users within the relevant school. While we take reasonable measures to protect information, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

8. Data Retention

We retain personal and academic data for as long as the associated school account remains active, or as needed to comply with legal, regulatory, or educational record-keeping requirements. Schools may request deletion of their data in accordance with their agreement with us.

9. Your Rights

Depending on your role and applicable law, you may have the right to access, correct, or request deletion of your personal information. Requests should generally be directed to your school administrator, who manages your account, or to us directly using the contact details below.

10. Third-Party Services

Our mobile app uses Google Play Services and Firebase Cloud Messaging for push notifications and app functionality. These providers may process limited technical data (such as device identifiers) under their own privacy policies.

We may update this Privacy Policy from time to time. Material changes will be reflected by an updated "last updated" date on this page.
